Automatically apply the balance of vouchers, gift cards, memberships or tickets against a guest reservation or house account as a payment.

Guests can use their vouchers and gift cards when making an online reservation through the Cloudbeds booking engine

Connect Cloudbeds to VoucherCart

Connect Cloudbeds from your VoucherCart Dashboard

1 - Navigate to the integrations page in the main navigation inside your VoucherCart Account Dashboard and click 'Connect'

2a - Sign in to your Cloudbeds account to authorize us to install the VoucherCart app in your Cloudbeds dashboard

2b - VoucherCart supports group accounts (mygroup), if you have multiple properties configured, Cloudbeds will ask you which properties you would like to connect, then click 'Continue'

Important Note: The user authenticating at group/organization level would need to be either an organization admin or organization owner to be able to connect all properties at once with this specific flow:

If you are connecting all properties to your VoucherCart account, we recommend ensuring 'Connect future member properties' is checked to ensure the integration has access to any new properties added to your Cloudbeds account.

2c - Now click 'Allow Access' to confirm the VoucherCart app install to your property(s)

After clicking 'Allow Access' You will be redirected back to your VoucherCart account to complete the integration setup.

3 - Now select the payment method used when the redeemed value is added to Cloudbeds as a payment.

You can select from a list of existing payment methods or you can click 'Create a custom payment method' to create one. We recommend using a payment method specifically for your vouchers such as Voucher or Gift Card.


Connect Cloudbeds from the Cloudbeds Marketplace

1 - Click Account

2 - Select Apps & Marketplace

3 - Search for 'VoucherCart'

4 - Learn More

5 - On App preview, click Connect App.

6b - The Application Authorization page will show you the list of permissions the app wants to access.

Now click 'Allow Access' to confirm the VoucherCart app install to your property(s)

7 - In VoucherCart select the payment method used when the redeemed value is added to Cloudbeds as a payment.

How to redeem a voucher or gift card

Vouchers & gift cards can be redeemed directly from your VoucherCart account and can be redeemed to a guest reservation where the balance is transferred to the guest folio or can be redeemed to house accounts that are not connected to any specific room, guest, or reservation.

To redeem any voucher or gift card against a Cloudbeds reservation or house account, first enable 'Redeem against Cloudbeds reservation' in the redeem modal.

Redeem to a guest reservation

Select the 'Reservation' tab

Search for the guest reservation using Guest Name, Reservation ID, or Room Name and filter reservations using Reservation Status such as 'Resident' (checked in/in house) or 'Future Arrival' (not check in/future reservation) and Arrival Date.

Select the required reservation from the returned results and redeem.

Once you have redeemed the voucher or gift card you should see the payment in the reservation folio.

Redeem to a house account

Select the 'House Account' tab

Search for the House Account using the House Account Name or House Account ID (if known).

Select the required House Account from the returned results and redeem.

Once you have redeemed the voucher or gift card you should see the payment in the house account transactions list.


Enable vouchers to be used when making a booking (automatic redemption)

Cloudbeds allows for guests to make a reservation online through the Cloudbeds booking engine using the voucher or gift card as payment in addition to allowing staff to input the voucher/gift card redeem code on behalf of a guest who is making a reservation with the hotel directly.

Cloudbeds has kindly written a detailed guide on how to enable this functionality which you can read here:

1 - Configure your Cloudbeds account to request the guests Voucher/Gift Card redeem code during the online booking - as described here

2 - To make the custom field available to staff creating reservations directly from the Cloudbeds dashboard, ensure 'Direct Reservations' is checked during custom field setup

3 - When a valid and redeemable VoucherCart voucher or gift card redeem code is detected in the custom field on the reservation, VoucherCart will:

  • Redeem the voucher/gift card product for the total reservation balance, up to the total redeemable value of the voucher/gift card product

  • Apply a payment to the reservation folio for the same amount that was redeemed from the voucher/gift card

Please be aware that there are some limitations with this flow:

  • If a guest enters a voucher/gift card redeem code that is incorrect or is not redeemable (expired, fully redeemed, refunded etc), the online booking will still be made but the balance on the reservation folio will not change

  • Credit/debit cards are not captured during the online booking process, so if the total value of the voucher/gift card does not meet the total reservation balance you will need to contact the guest to arrange additional payment

  • If the voucher being redeemed does not support partial redemptions, for example a single use voucher, the total redeemable value of the voucher will be added as a payment to the guest folio which may exceed the total reservation balance, resulting in a credit on the account. If this is not the required outcome in this scenario then ensure the voucher supports partial redemptions

  • In the event that the total redeemable voucher/gift card value exceeds the reservation balance, our system will part-redeem the voucher/gift card (multi-use vouchers only), leaving the remaining balance to be redeemed at a later date. If the guest wishes to use the remaining value during their stay, you can still redeem the voucher manually
