Vouchers & gift cards can be redeemed automatically from inside your Cloudbeds account when creating, editing or updating a guest reservation.
This article assumes you have already set up your Cloudbeds integration, so if you have not done that yet, please refer to the article below for instructions:
1. Create a custom field
From your Cloudbeds dashboard select your 'Account' icon.
Then Settings.
3. Navigate to Guests from the left panel
4. Select the Custom Fields tab
5. Then click ADD NEW
6. Give the custom field a name; this can be anything, but should be informative as to what information is required for this field. We recommend something like 'Gift Voucher Code.'
7. Ensure the custom field applies to 'Reservation'.
8. Select 'No' as the field should not be a required field.
9. The field should be displayed on 'Direct Reservations'.
10. Give the field a shortcode; this can be anything.
11. Ensure the field type is set to 'Input Field'.
12. Select 'No' as the field does not contain any personally identifiable information.
13. When finished, click 'Save.'
2. Redeem a voucher or gift card in Cloudbeds
When creating a reservation on behalf of a guest you will see the custom field that was created above now available in Reservation Information.
1. Enter the voucher redeem code in the custom field.
2. Once you have created the reservation, the gift voucher will be automatically redeemed in your VoucherCart account and applied as a payment against the guest reservation.
When a valid and redeemable VoucherCart voucher or gift card redeem code is detected in the custom field, VoucherCart will:
Redeem the voucher/gift card product for the total reservation balance or up to the total redeemable value of the voucher/gift card product.
Apply a payment to the reservation folio for the same amount that was redeemed from the voucher/gift card.
Please be aware that there are some limitations with this flow:
If the voucher/gift card code entered is incorrect or cannot be redeemed (e.g., expired, fully redeemed, refunded, etc.), no payment will be applied to the guest folio, and no notification will be provided to indicate that the code is invalid or unredeemable.
If the voucher being redeemed does not support partial redemptions, (eg. a single-use voucher), the total redeemable value of the voucher will be added as a payment to the guest folio which may exceed the total reservation balance, resulting in a credit on the account. If this is not the required outcome in this scenario then ensure the voucher supports partial redemptions.
In the event that the total redeemable voucher/gift card value exceeds the reservation balance, our system will part-redeem the voucher/gift card (multi-use vouchers only), leaving the remaining balance to be redeemed at a later date. If the guest wishes to use the remaining value during their stay, you can still redeem the voucher manually.
