How to connect Phorest to VoucherCart

Connect Phorest to sync gift voucher sales, then search, redeem and manage them in Phorest.

Connect VoucherCart to Phorest to automatically sync your gift voucher and gift card sales, so staff can find, redeem and manage them directly in Phorest.

Connecting Phorest

To connect the integration, you need the following credentials form the Phorest support team.

  • Business ID

  • API username

  • API Password

Step 1: Start the connection

  1. Navigate to the Integrations page in the main navigation inside your VoucherCart Account Dashboard [1]

  2. Then click Connect [2], followed by Connect Integration. [3]

Step 2: Enter your credentials

  1. Enter your Business ID [1], API username [2], and API password [3].

  2. Click Next. [4]

Step 3: Select your branch

  1. Select the branch [1] that records the voucher sales — choose one even if you only have a single location.

  2. Click Save. [2]

How the integration works

Our integration automatically syncs Phorest-compatible vouchers and gift card sales and buyer/recipient data to Phorest. You can use them for payment, or your clients can use them when making a booking online with your branch.

Phorest-compatible vouchers

Our Phorest integration supports two voucher types:

  • Flexible Monetary (Multiple Use/Redeem)

  • Monetary (with options) — this type can be configured as either Multiple Use/Redeem or Single Use

Currently, you cannot redeem your Product vouchers through Phorest. However, if you wish to do this - your product vouchers can be set up as single use monetary with options vouchers and they can be redeemed in Phorest.

Search for a voucher in Phorest

Go to the Vouchers page

In Phorest, go to Manager [1] > Vouchers [2] to find all vouchers synced from VoucherCart.

Search for a voucher

You can search for a voucher by client name [1] or serial (voucher code) [2].

View voucher details

Clicking a voucher opens its details page, which includes a Notes [1] section showing the voucher's title, order reference, description and usage terms.

Search for a Client in Phorest

Go to Clients


In Phorest, go to Clients [1]. If the buyer or recipient's email doesn't already exist in Phorest, a new client record is created automatically.

You can search for a client by

  • first name [2]

  • last name [3]

  • email address. [4]

Clicking a client opens their profile page, where you can view their contact and account details.

Use the voucher for payment

Vouchers and gift cards that have synced to Phorest can be used as payment for a sale, just like any other voucher or gift card in Phorest — including applying more than one to a single sale if needed. For the exact steps, see Phorest's guide:

Limitations

Phorest does not support updating the voucher expiry date via the VoucherCart integration. You cannot change the expiry date for a synced voucher in VoucherCart. If you need to, change the voucher expiry date in Phorest.


Frequently Asked Questions

Q: Does the integration sync vouchers sold before I connected Phorest, or only new sales going forward?

A: No. Only vouchers sold after the integration is connected are synced. Vouchers issued before connecting won't appear or be redeemable through Phorest via VoucherCart.

Q: What happens to a voucher in Phorest once it's fully redeemed?

A: It's marked with a "Used" status and shows a remaining balance of €0.00. Fully-redeemed vouchers are hidden from the voucher search results by default — tick "Show Used" to see them.

Q: Can I disconnect the integration, and what happens to vouchers that have already synced if I do?

A: Yes, you can disconnect at any time. Vouchers already synced to Phorest before disconnecting stay there — disconnecting doesn't remove them. However, once disconnected, VoucherCart and Phorest no longer communicate. If a voucher is redeemed in one system after that point, the other won't be updated to reflect it, so balances can fall out of sync between the two.
